Virtual meeting: Information to attendees

Due to the sanitary crisis, GCPN will go virtual this year! For the sake of simplicity, the platform Lifesize will be used during the meeting. As with many platforms, you will be able to connect to the meeting with a link via your browser or the installed app.

During the day, you’ll see the different talks via Lifesize and access the list of participants, while being able to unmute your microphone, make your video active and raise your hand to ask questions. A chat is also present in this platform but not available (for example not on Macs using the app), so we won’t use it.

The general link to access the meeting is provided via email to people who registered.

Posters in pdf format will be available as soon as 8h in the morning of the meeting via this link [to be announced]. Participants will be free to read them at any time. During the poster session, 4 room chats will be created according to broad themes, gathering 3 to 4 different posters. To start interacting with the presenters, please, use the links you received by email depending of the poster:

Talks: Information to presenters

Oral presentations have to last 20 mins maximum with 5 mins more for discussion. During her/his given slot, each presenter will share her/his screen to display the slides.

For speakers who are interested, they can try slide sharing via this platform with F. Chetail on Tuesday 24th of November (between 9 and 12h) to ensure everything goes smoothly on December 1st (if so, please email fabienne.chetail@ulb.be rapidly). If before the meeting, you notice any unresolved difficulty with slide sharing, we may ask you to record your talk in advance and the video will be displayed the day of the meeting.

Additional advice: It may be a good idea to prepare your talk in 16:9 format, to increase the experience on laptop + One can choose to launch the slides in the display mode rather than slide-show mode, to keep eye contact with the audience.

Posters: Information to presenters

For the sake of simplicity, we ask presenters to prepare their poster in pdf format. Please, use a display format (not portrait), ideally in 16:9, to improve laptop experience.

The maximum deadline to send the pdf file to fabienne.chetail@ulb.be is Sunday 29th of November, 23h. Please, respect this deadline to facilitate the work of the organisers!

Posters will be available the day of the meeting from 8h to 18h. During the poster session, you will have to join the meeting room corresponding to your poster (see first section + number of posters in the abstract book). In this room, you will be 2, 3 or 4 presenters at the same time. This will enable you to interact with other researchers, to answers visitors’ questions, and to safely quit the room for a short time if you want to visit other rooms.
